This article explains how to read and use Order Reports in ProfitTree, including order-level revenue, COGS, and estimated gross profit, as well as how sorting and COGS status affect reporting.

Understand Your Order Reports

Order Reports give you order-level visibility into your Etsy sales, allowing you to review revenue, refunds, discounts, COGS, and estimated gross profit for each order during the selected time period.

All metrics shown reflect the date range you have selected.

What Order Reports Show

Order Reports focus on estimated gross profit per order, before operating expenses such as Etsy fees, ads, or shipping labels paid by you are applied.

This makes Order Reports ideal for:

  • Reviewing large or unusual orders

  • Checking whether COGS are missing

  • Understanding order-level profitability before fees

Sorting Options

You can sort orders using the following options:

Most Recent

Sort orders by the most recent sale date to quickly review new activity.

Biggest Cart

Sort orders by the highest number of items purchased.

Most Profitable

Sort orders by the highest estimated gross profit.

COGS Issues

Filters orders that contain products missing COGS.

These orders cannot show accurate gross profit until COGS are added.

To fix this, go to COGS Management and enter the missing product costs.

Order Report Columns Explained

Date

The date the order occurred.

Order ID

The Etsy order identifier.

Status

Displays the current order status, such as:

  • Open

  • Processing

  • Completed

  • Partially Refunded

  • Fully Refunded / Canceled

Items

The total number of items purchased in the order.

Paid

The total amount paid by the buyer, including:

  • Item total

  • Shipping and handling

  • Gift wrapping (if applicable)

  • Sales tax or VAT (if applicable)

Sales Tax

The amount of sales tax or VAT collected by Etsy on the order.

Item Total

The total price of the items before:

  • Shipping

  • Taxes

  • Gift wrapping

Shipping

The amount paid by the customer for shipping.

(This is not the cost of the shipping label you purchased.)

Refunds

Any partial or full refunds issued for the order.

Discounts

Any discounts applied to the order.

COGS

The total cost of goods sold for items in the order.

COGS come from:

  • Values entered in COGS Management, or

  • Automatically imported costs from Printify or Printful

If COGS are missing, estimated gross profit cannot be calculated correctly.

Estimated Gross Profit

Estimated Gross Profit shows how much revenue remains after product-level costs, but before operating expenses.

Formula:

Gross Profit = Item Total - (COGS + Refunds + Discounts)

This metric helps you understand order profitability at a high level, but it does not include Etsy fees, ads, or shipping labels paid by you.

Important Notes About Accuracy

  • Estimated Gross Profit depends on accurate COGS being entered.

  • Missing COGS will result in incomplete profit calculations.

  • Final profit calculations, including fees and ads, are shown in Dashboard, Product Reports, and Listing Reports.
